Key Responsibilities
Process daily financial transactions, including accounts payable and receivable
Assist with payroll processing and bi-weekly cheque runs
Support budgeting, bank reconciliations, and financial reporting
Maintain accurate administrative and financial records
Assist with year-end audit preparation and implementation of financial policies
Coordinate meetings, travel arrangements, and general office administration
Maintain a clean, organized, and efficient office environment
Support planning and logistics for Kaleido and Deep Freeze festivals
Help coordinate workshops, special events, and public art installations
Assist with organizing year-round community events and seasonal programming
Contribute to daily operations at The Carrot Community Arts Coffeehouse
Draft calls for submissions, advertisements, contracts, and correspondence
Assist in creating and distributing marketing materials and event signage
Support communication with sponsors, community partners, and stakeholders
Contribute to volunteer recognition and community engagement activities
Maintain and update organizational archives and contact databases
Assist with project coordination and cross-functional administrative tasks
Provide team support during festivals and events, including setup and takedown
Cross-train with other staff roles to ensure flexible team support

Special Events/Festival Assistant
Job description
Site Production Crew - Intern Position
Arts on the Ave believes in cultivating artistic fellowship through arts celebrations, signature art festivals, and traditions. The Society’s goals are to create opportunities for all individuals to experience the joy of artistic expression and to nurture creative environments. Arts on the Ave is composed of visual and performance artists, literary and film artists, photographers, and musicians that collaborate and create in the Alberta Avenue Arts District.
Arts on the Ave Edmonton Society is looking for a Festival & Event Assistant - Site Production Crew who is eager to join us in planning our annual community arts festival and other special community arts and regular weekly events and workshops in one of Edmonton's historic neighbourhoods. The successful applicant will assist Arts on the Ave in continuing to build and renew our historic district, and provide the opportunity to engage and work within a broad multi-cultural community as well as provide them with valuable experience in planning multi-arts events in Alberta's capital city.
Job Requirements:
The ideal candidate for the position:
- Is an enthusiastic, self-starter who is flexible and resourceful;
- Enjoys working in a fast-paced, fun environment with minimal supervision;
- Is able to move up to 40 lbs safely, moving and setting up festival site equipment like tables, tents, etc.
- Has a keen interest and/or experience or studies in an arts or administrative field (preferred);
- Has excellent communication and customer service skills;
- Is organized, responsible and reliable;
- Has good computer skills (Excel, Word & Google Docs)
- Has a valid driver's license (required) and access to a reliable vehicle
- Can be studying in Arts Administration, Fine Arts, Communications, Social Sciences or other relevant discipline.
- Interest in the Arts is a must.
- Experience or interest in arts festivals and community events is an asset.
- Able to work outdoors year round
- Available to work evenings and weekends
Successful applicants will also be cross-trained on other Arts On The Ave tasks and events as needed including but not limited to: warehouse duties, hosting small events, communications, etc.,
This position is funded through Venture for Canada
A student is eligible if they:
- Are a Canadian citizen or a permanent resident, or have refugee status in Canada (non-Canadians holding temporary work visas or awaiting permanent status are not eligible);
- Are legally entitled to work in Canada;
- Will be between 16 and 30 years of age at the start of employment;
- Are willing to commit to the full duration of the work assignment;
- Will not have another full-time job (over 30 hours a week) during the program work assignment;
Job Types: Part-time, Fixed term contract, Seasonal, Internship / Co-op
Contract length: 5-6 months possibility of continuation
